VocalOps Services Inc. ("VocalOps", "we", "us") is committed to protecting personal information in accordance with Quebec's Act to Modernize Legislative Provisions as Regards the Protection of Personal Information (Law 25), the federal Personal Information Protection and Electronic Documents Act (PIPEDA), and other applicable Canadian privacy laws. This policy explains how we collect, use, and protect your personal information.

2. Information We Collect

We collect the following information:

  • Business information: your company name, address, phone number, and email address.
  • Call data: audio recordings, transcriptions, and metadata (caller number, time, duration) for calls handled by VocalOps.
  • Caller information: names, phone numbers, and requests communicated during calls.
  • Usage data: service usage statistics, login logs, and performance data.

3. Website Cookies and Audience Measurement

The public website uses a functional cookie to remember the language you select. This cookie is not used to measure your browsing activity or for advertising.

Google Analytics remains disabled until you explicitly allow audience measurement. After you consent, Google Analytics may set first-party _ga cookies to distinguish visits and measure viewed pages, interactions, approximate source, browser, and device information. We do not send names, email addresses, phone numbers, call recordings, or transcripts to Google Analytics, and advertising storage remains disabled.

You may decline without losing access to the website and change your choice at any time through the “Cookie preferences” link at the bottom of every page. Declining or withdrawing disables future measurement and removes accessible Google Analytics cookies from the website. Google acts as our measurement provider and may process information outside Quebec under its own policies.

4. How We Use Your Information

We use your information to: provide and improve our automated call-handling service; deliver call summaries and appointment requests to your business; process billing; ensure security and compliance; and respond to your support requests.

5. Call Recording and Transcription

VocalOps records and transcribes phone calls on behalf of your business. You are responsible for notifying callers that calls are recorded, as required by applicable law. VocalOps processes this data as a service provider acting on your instructions.

6. Data Retention

Call recordings and transcriptions are retained for 90 days and then automatically deleted, unless otherwise required by law or requested in writing by you. Account data is retained for the duration of the contractual relationship plus 12 months.

7. Sharing of Information

We do not sell your personal information. We may share it with: technical subcontractors (hosting, telecommunications, AI) bound by confidentiality obligations; and competent authorities when required by law.

8. Your Rights

Under Law 25 and PIPEDA, you have the right to access, correct, delete, and object to the processing of your personal information. To exercise these rights, contact our Privacy Officer at the address below.

9. Security

VocalOps implements appropriate administrative, technical, and physical security measures to protect your information against unauthorized access, disclosure, or destruction.
