Text, chat and messaging

What gets said on the phone is forgotten. A text is not.

During the call, the agent sends your customer the confirmation, the address, the payment link or the next step — from your own number, and only when the line can actually receive a text.

Canadian French + English • Configurable human handoff • Keep your number when supported by your carrier

At a glance

Defined by the workflow, not only the voice

An address dictated over the phone gets written down wrong about one time in five. An appointment confirmed out loud becomes "wasn’t it Thursday?" two days later. A payment link promised "by email" lands in junk.

A text fixes that because it stays. It gets reread in the parking lot, shown to a spouse, found again three weeks on. It is the one channel the caller already has open in their hand while they are talking to you.

VocalOps sends that text during the conversation, not in an overnight batch. The agent confirms out loud what it just sent, and the caller can check before hanging up — which removes the "I never got anything" callback entirely.

The message comes from your business number, the one the customer just dialled. Not from an anonymous short code nobody recognizes and nobody can reply to.

And the agent checks the line type first. If the caller is on a landline the option is never offered: it does not promise a text that will not arrive.

Text is the channel we deploy most often, but it is not the only one. Web chat on your site, Messenger and WhatsApp connect to the same agent configuration — same rules, same vocabulary, same handoff to a person. We set them up with you during onboarding, starting with the channels your customers actually use rather than all of them at once.

Outcomes

What the text carries

Appointment confirmation

Date, time, address and technician name, in a message the customer rereads instead of phoning back to check.

Payment link

A Stripe link tied to the right invoice, sent to the contact details already on the record — never to a number dictated during the call.

Address and directions

The exact address of the shop or the site, in writing, rather than spelled out twice over the phone.

What to do next

What the customer needs to prepare, bring or do before the visit, in a form they can find again.

A record attached to the call

The text sent, the channel and the timing are logged with the call, so your team can see what the customer received.

Web chat on your site

The same agent configuration answers in a chat window on your own site, set up with you during onboarding.

Messenger and WhatsApp

Your customers write where they already are. Both channels connect to the same agent and are switched on during onboarding.

Implementation

How a deployment works

  1. 1

    Scope

Decide the moments where a text helps and the ones where it does not — one message too many is one complaint more.

  2. 2

    Write

Draft the templates in your voice, in French and English, separating what varies from what never does.

  3. 3

    Validate

Test a call from a mobile, a call from a landline, and a customer who says nothing arrived.

  4. 4

    Tune

Review what was sent against the first weeks of calls, then cut the messages nobody opens.

Scenarios

Where a text changes the day

Appointments booked by phone

Plumbing, HVAC, garages, clinics: a written confirmation cuts no-shows and check-in callbacks.

A payment to collect

The link goes out while the customer is still on the phone, at the exact moment they are ready to pay.

A customer travelling to you

Address, parking, floor, door code: everything that gets lost out loud fits in one message.

After-hours calls

The caller leaves with a written trace of what was captured and what happens next, instead of doubt until morning.

FAQ

Questions about text follow-up

Can the customer reply to the text?

They can reply to your business number, and the reply arrives like any message to that line. What this page describes, and all we promise, is the send during the call.

Which number does it come from?

Your business number — the one the customer just dialled. Not an anonymous short code, which changes open rates and trust considerably.

What if the caller is on a landline?

The agent checks the line type before offering anything. On a landline the text is not offered and the conversation continues another way, by email or out loud.

Are the texts in French or English?

Templates are written in both languages during configuration, and the message follows the language of the call.

Does this replace email?

No, it sits alongside it. Email suits a detailed quote or an attachment; a text suits what has to be read within the minute.

Can we use it for promotions?

No, and we will not configure it that way. These sends are transactional and follow an inbound call. Promotional texting falls under separate consent rules your business has to handle on its own.
